We understand that business needs can change. This Cancellation Policy outlines how you can cancel your FIXITHUB services and what to expect when you do.

1. Subscription Plan Cancellations

For monthly recurring IT support plans:

  • You may cancel your subscription at any time by emailing Info@Fixithub.co.za or calling 064-845-5928.
  • We require at least 30 days written notice for cancellation of subscription plans.
  • Your Services will remain active until the end of your current billing period. No partial-month refunds are issued.
  • If you cancel within the first 7 days of a new subscription, you may be eligible for a full refund under our Refund Policy.

2. Project-Based Contract Cancellations

For one-time or fixed-scope IT projects:

  • Either party may cancel a project-based contract with 14 days written notice.
  • If you cancel before work has commenced, you will receive a full refund of any deposit, minus a 5% processing fee.
  • If work has already begun, you will be billed for all work completed and costs incurred up to the cancellation date. Any unused deposit balance will be refunded within 10 business days.
  • Custom software development, migration, or configuration work that has been delivered is non-refundable.

3. SLA Agreement Cancellations

For Enterprise plans with dedicated SLA agreements:

  • SLA agreements require 60 days written notice for cancellation.
  • Early termination fees may apply if cancelling before the minimum contract term (typically 12 months) as specified in your signed SLA.
  • The early termination fee equals 25% of the remaining contract value, unless otherwise negotiated in your SLA.

4. On-Site Visit Cancellations

For scheduled on-site technician visits:

  • Cancellations made more than 24 hours before the scheduled visit will not incur any charges.
  • Cancellations made within 24 hours of the scheduled visit will incur a 50% cancellation fee of the quoted on-site rate.
  • No-shows (failure to provide access or notify cancellation) will be billed at the full on-site visit rate.

5. Auto-Renewal

All subscription plans auto-renew at the end of each billing period unless cancelled in accordance with this policy. You will receive an invoice reminder 7 days before renewal. To prevent auto-renewal, you must submit your cancellation notice before the renewal date.

6. Data Retrieval After Cancellation

Upon cancellation, you have 30 days to retrieve any data, backups, or documentation stored on our systems. After 30 days, we may securely delete all client data in accordance with our data retention policy. We can assist with data export during this window at no additional charge.

7. Immediate Termination by FIXITHUB

FIXITHUB reserves the right to terminate Services immediately without notice if:

  • You fail to make payment within 30 days of the due date.
  • You engage in fraudulent, illegal, or abusive conduct.
  • You violate our Terms of Service in a material way.
  • You compromise the security or integrity of our systems or other clients' systems.

In cases of immediate termination, no refunds will be issued for any prepaid periods.
